I get it because I’ve been there, too. As a creative and entrepreneur, my brain is always buzzing with ideas—new offers, marketing strategies, design tweaks, website upgrades. Sometimes it’s an endless stream of inspiration that makes me want to dive in headfirst to all the new things—like launching that dream product, creating a brand-new design package, or giving my website a complete makeover.
But then there are days when it’s not just ideas that are overwhelming—it’s the to-do list that never seems to end. The client emails, the project updates, the invoices, the little admin tasks that multiply faster than your kid’s laundry pile. That’s when everything starts to feel urgent, and it’s tough to figure out what deserves your focus first.
If you’ve ever found yourself wondering, “Where should I start?” or “How do I decide what’s actually worth my time right now?”—this post is for you. I’m sharing my process for tackling both scenarios: when you’re overflowing with ideas you can’t wait to bring to life, and when you’re drowning in tasks that all seem equally important.
So let’s dive in and figure out how to cut through the noise—so your energy, time, and resources go to the things that truly matter (like finally getting that website redesign done so your brand shines as bright as your ideas).
Scenario 1: Idea Overload (In a Good Way!)
Let’s start with the fun one: idea overload. You know the feeling—your mind is buzzing with possibilities. New products you want to launch, marketing ideas that make you tingle with excitement, updates to your client experience that would take your brand to the next level. Sometimes, it’s even dreaming about that website upgrade that would showcase your work more beautifully.
It’s easy to get caught up in that creative energy and want to jump from idea to idea, but that’s how we end up with a bunch of half-finished projects and nothing fully launched or consistent.
Here’s how I decide which ideas deserve my time and energy:
- Does this idea align with my bigger vision and goals for the business? If it doesn’t fit where I want to take my company, it’s a no-go.
- Does it add value—financially or in time savings? If it’s going to move the needle or free up my time down the line, that’s a win.
- Will I still be excited about this in 6 months or a year? If it’s just a fleeting shiny object, it might not be worth chasing right now.
- Does it fit my brand’s foundation and identity? Every idea should reinforce—not confuse—what my business stands for.
- Is this idea distracting me from something more important? Like finishing that client project, launching a new service, or completing that website refresh that’s going to elevate my online presence.
- What am I missing out on by not working on this idea? Sometimes saying yes to one idea means saying no to another—so I consider what I’m potentially leaving on the table.
- Do I have to be the one to do this? If it can be delegated or outsourced, that’s often a clue that it might not need to be my top priority right now.
Scenario 2: Task Overload (The Not-So-Glamorous To-Do List)
Now let’s talk about the other side of the coin: the mile-long to-do list that keeps growing. From client follow-ups to project deadlines to that mountain of admin work—it’s easy to feel like everything is important and urgent.
Here’s how I decide what to tackle first:
- Is it extremely urgent and time-sensitive? Anything that’s truly on fire—like a client deadline or a brand deliverable that’s due today—moves to the top.
- Does it directly impact income, sales, or client confidence? Anything that moves the bottom line or strengthens my client relationships takes priority.
- What’s the lowest-hanging fruit? Tasks that are quick to implement but have a big impact—like updating a homepage headline or fixing a broken website link—get my attention because they can build momentum.
- Does it create a positive ripple effect? Maybe it’s a systems update that saves time, or an email sequence that nurtures leads better. Even if it’s not directly tied to sales, if it sets me up for smoother operations, it’s worth considering.
- Can someone else do this? If it doesn’t require my unique expertise, I’m all about delegating it to free up my time for higher-level work.
- Does it even need to be done at all? Sometimes tasks sneak onto our list that don’t actually serve our goals. I ask myself: Does this task help me grow my business, improve client experience, or strengthen my brand? If the answer is no, it’s either a delegate or a delete.
Putting It All Together
When both the creative ideas and the daily tasks start competing for your time and attention, the key is clarity. Separate the ideas from the tasks, then apply the right questions to filter what’s truly important.
For ideas, look for alignment, value, brand fit, and whether it’s worth the opportunity cost. For tasks, look for urgency, impact, delegation potential, and relevance to your bigger goals.
And remember—your time is one of your most precious resources. Focusing on the right things—like that brand or website update that actually helps you reach your dream clients—will always pay off more than spreading yourself too thin.
